About Zoho Books
Zoho Books is cloud accounting software for growing businesses and part of the Zoho suite. It runs accounting from end to end, from invoicing and expenses to inventory, with banking, financial reports, multi-currency transactions, and automation built in. It works with other Zoho apps such as Zoho Expense and Zoho Inventory.
Turn your Zoho Books ledger into a plan the whole business can use
[ 01 ]
Plan on Zoho Books and your operational data in one model
Drivetrain syncs your operational systems alongside Zoho Books, so sales, pay, hours, and actuals refresh together in one model.
When actuals don't match the plan, you can trace the gap to what caused it, like a delayed deal or a late hire.

[ 02 ]
Give department heads real-time variances analysis
Map each Zoho Books account to its department once, and every sync adds the latest bills and expenses to that department's BvA.
When an account runs over, department heads can drill into its bills by vendor and bring the reason to the review.

[ 03 ]
Consolidate every entity in one reporting currency
Drivetrain brings every Zoho Books organization into one group P&L and balance sheet, in one currency, and eliminates intercompany transactions.
Both update on every sync, so when an investor asks for group revenue in dollars, it's ready.

[ 04 ]
Run your monthly reports without rebuilding them
Instead of exporting reports from Zoho Books into Excel and rebuilding them every month, build them only once in Drivetrain.
Every data sync refreshes your Zoho Books journals, invoices, and bills, so your month-end reports are automatically updated when the books close.

How does Drivetrain connect to Zoho Books?
Through a dedicated user in your Zoho Books organization. Your admin goes to Settings → Users & Roles and invites a user for Drivetrain with the Admin role, using the email address your Drivetrain customer success manager gives you. Your customer success manager then completes the OAuth 2.0 connection. You don't need a developer or any work on Zoho's API.
What data does Drivetrain sync from Zoho Books?
Your transactions, the lists they refer to, and Zoho Books' own reports.
Transactions: Journals, invoices, bills, expenses, credit notes, vendor credits, sales orders, purchase orders, estimates, and account transactions.
Lists: Chart of accounts, contacts (customers and vendors), items, currencies, and organizations.
Reports: Profit and loss on accrual and cash basis, and AR aging summary and details.
How much Zoho Books history comes across on the first sync?
Your full history. The first sync loads your past transactions, so you can compare this year's actuals with last year's from day one.
How often does Zoho Books data refresh in Drivetrain?
On the schedule you choose at setup. You can also start a sync whenever you need the latest figures, for example before a board meeting.
What happens when a journal entry is posted or edited in Zoho Books after close?
Drivetrain picks it up on the next sync, and your actuals for that period update with it. Your locked budget stays as it was, so the change shows up as a change in the variance.
What happens when we add a new account in Zoho Books?
The next sync brings it in, and you map it to your group chart of accounts once. From then on, every sync lands its transactions in the right place.
Can Drivetrain consolidate several Zoho Books organizations, including ones in different data centers?
Yes. Each organization connects to the data center where it is hosted, so an organization in India and one in the US can sit in the same group. You set the rules for intercompany eliminations once: a whole account, individual transactions, or one total amount.
Can Drivetrain combine Zoho Books with QuickBooks or another accounting system?
Yes. Connect each system and map its accounts to one group chart of accounts. For Zoho Books and QuickBooks together, Drivetrain has a combined chart of accounts, general ledger, balance sheet, and vendor list already built.
